01Work log

Change the Work log

One row per client project per month, as in the workbook. Type in any yellow cell. The Check column and the Summary below update as you type.

  • Yellow cells: you type. Leave every other cell to the workbook.

Fees are before sales tax. Credits and external costs can be left blank; blank means zero. Hourly cost is your internal cost per delivery hour, not the rate you bill.

Things to try

  1. Raise the delivery hours on a row and watch its contribution fall. A negative result stays in the totals.
  2. Type a word into Fees billed, or a negative number into Delivery hours. The row goes to Review and leaves the totals.
  3. Move a row to Sep 2026, a month with no exchange rates yet. Then add the rate in the Summary's rate table to bring it back.
  4. Add a row with the same client, project and month as another row, or reuse a Record ID.
  5. Switch the report currency and check that each row's margin stays the same. With all months shown, the total margin can move slightly, because each month converts at its own rates.

Exchange rates in this example

Rates are AUD per 1 unit of each currency for the stated month. The AUD rate is always 1. Change a rate, or clear one, and watch which rows go to Review.

03Calculation

How each figure is worked out

The same definitions as the workbook's Guide sheet and metric dictionary.

Conversion
AUD rate of the source currency ÷ AUD rate of the report currency, for the row's month. The same currency converts at 1.
Net fees
(Fees billed − credits) × fee-currency conversion.
Delivery labor cost
Delivery hours × hourly cost × cost-currency conversion.
Total delivery cost
External costs, converted, plus delivery labor cost.
Contribution before overhead
Net fees − total delivery cost. It is not net profit or cash flow.
Contribution margin
Contribution ÷ net fees, shown only when net fees are above zero.
Row status
OK only when every required input is filled in, every number is a number of 0 or more, the Record ID and the client, project and month are not repeated, and every rate the row needs is above 0. Otherwise Review.

04Limits

What the demo leaves out

  • It has 3 currencies (AUD, USD, EUR). The workbook reports in 10: USD, EUR, GBP, AUD, CAD, NZD, JPY, SGD, HKD and CHF.
  • The Summary here lists one line per row. The workbook's Summary groups by client and adds contribution per delivery hour and all-period totals.
  • It stops at 10 rows. The workbook's Work log is an Excel table with no fixed row or client limit.
  • Nothing is saved. Reload the page and the example resets.
  • It does not check month dates or ask for a source note beside each rate. The workbook does both.
